When a guest purchases a gift card online, it is important that we print the card and mail it as quickly as possible to provide good customer service.

    1. Check for New Purchases

    To check how many gift card purchases need to be printed, visit http://database/Reports using Internet Explorer.

    Click the Gift Card Purchases report.

    With “Printed? False” selected, click the View Report button.

    A list of Gift Cards purchased online and not yet printed will be displayed on the screen. If there is only one purchase waiting to be printed, the details of that transaction will be displayed. If there are any sales listed, proceed to the next step.

    On Guest Services 03, open Batch Print (the red star icon). Guest Services 03 and the Admin Sales Point are the only two with label printers set up for Gift Card printing.

    Log in with your swipe card or username/password.

    In the Saved Criteria Drop Down, select Gift Cards.

    Make sure that Last Pass Selected is set to zero.

    Make sure that the Sold On date goes sufficiently into the past to find all prior sales that have not yet been printed, then in the Through section click on the Now button to select all Gift Cards sold through current date and time.

    Press the Go button. Gift Cards and Mailing Labels will now print.
  11. 11. Test Each Card

    Press CTRL+D in Sales and swipe each gift card to verify that the magnetic strip was encoded properly.
  12. 12. Write Amount in Mailer

    Write the amount of each gift card that was shown with the CTRL+D swipe in a gift card mailer and place the gift card between the tabs in the mailer.
  13. 13. Prepare for Mailing

    Put each gift card and mailer into a separate envelope and affix the correct mailing label to the envelope. Each mailing label will have the last four digits of the Gift Card number that it goes with (not the PIN). Seal the envelope.
  14. 14. Bring to Admin

    Bring the sealed envelopes to the third floor and leave them in the outgoing mail basket next to the postage machine.
